1. The dialer is inside the CRM. If you have to copy a number into a softphone, you'll make 30 percent fewer calls a day. The dialer, the lead record, the notes and the disposition should be one screen. Power dial for callbacks and appointments, multi-line for cold data.
2. Dispositions drive the next action. "No answer" should schedule the retry automatically. "Callback Thursday 10" should put it on the calendar and text a confirmation. A CRM where you set the follow-up by hand is a CRM where follow-ups don't happen.
3. Texting that's compliant out of the box. 10DLC registration, opt-out handling, DNC scrubbing, quiet hours. If the vendor says "just connect your own texting account," they've handed you the compliance problem.
4. Pipelines that match how life is sold. New lead, contacted, appointment set, presented, app submitted, in underwriting, issued, paid. Not a generic "deal stage" designed for software sales.
5. Recording on every call. For your own coaching and for the "I never agreed to that" call from a family member.
6. Chargeback and persistency tracking. Which policies are at month 9? Which draft dates keep failing? A CRM that doesn't know a policy exists after the sale isn't a life insurance CRM.
7. Price that a one-person agency can carry. Enterprise per-seat pricing with a sales call to get a quote is a sign the product wasn't built for you.
